Step by step

How we prepare your first-aid cover

Every event is different. These six steps outline how we work together, from the first conversation to the review afterwards.

  1. Step 1 First contact

    Understanding your event

    Tell us what you are organising, where and when it takes place and how many visitors you expect. We also discuss the activities, audience and any points to consider at the venue.

    Useful information to share: date, times, location and expected visitor numbers.
  2. Step 2 Advance agreements

    Suitable cover and a clear quote

    Based on your enquiry, we discuss the first-aid cover that suits your event. We agree on staffing, hours and equipment, and set out the arrangements in the quote.

    You receive an overview of the proposed cover, costs and practical arrangements.
  3. Step 3 Preparation

    Team and venue ready for the start

    Before the event, we agree on the first-aid post location, site access and our contact person. The team receives a briefing on the programme, venue and agreed arrangements.

    We discuss the site map, access routes and accessibility for emergency services.
  4. Step 4 During the event

    Visible and approachable

    During the agreed hours, our team is available to visitors, participants and staff. Depending on the event, we work from a first-aid post, with mobile patrols or a combination of both.

    Our cover follows the agreed arrangements and the situation on site.

  5. Step 5 When an incident occurs

    Direct communication and a clear handover

    When a report comes in, the team assesses the situation and provides first aid. We keep in contact with the organiser and relevant partners. If further help is needed, we contact emergency services and arrange the handover.

  6. Step 6 After the event

    Wrap up and review together

    After our shift, we coordinate the wrap-up with the organiser. We discuss relevant points and possible improvements for a future edition. Any follow-up arrangements are agreed together.

    We share practical observations while respecting the privacy of those involved.

This information helps us discuss your request and coordinate the cover for your event.

  • Programme and visitors Activities, opening hours, audience and expected numbers of visitors or participants.
  • Venue and site map A layout of the site, entrances and a possible location for the first-aid post.
  • Contact person on the day Who will be available on behalf of the organiser and how to reach security or other partners.
  • Special considerations and changes Points such as peak visitor times, sporting activities or changes to the programme.
